1. Introduction

viawise is a career coaching app with tools and guided goal sprints to help you make clearer choices and take practical next steps. This Privacy Policy explains how we collect, use, store, and protect personal data during the closed beta.

2. Information We Collect

We may collect and store the following categories of data:

• Account information: Your email address and authentication identifiers. Passwords are handled by our authentication provider and are not stored by us in the app database.
• Profile information (optional): Any details you choose to add in-app (for example your name).
• Tool inputs and saved results: Structured data you provide and the results you save from tools (for example Values Shortlist, Motivation Map, Skills Snapshot, Personality Profiler, and your North Star statement).
• Free-text you choose to provide: Some features include free-text fields. This can include CV/resume text, “extra context” notes in certain tools, and reflections you write in Goal Sprint check-ins.
• AI outputs you generate: If you use AI-assisted features, we may store generated outputs (for example summaries, suggested next actions, or role ideas) so you can view them later.
• Usage and technical data: Limited technical information needed to operate and secure the service (for example basic logs for debugging, reliability, and abuse prevention).

Please avoid submitting highly sensitive personal data (for example government ID numbers, medical details, or anything you would not want stored).

Cookies and similar technologies

We use cookies and similar technologies (including local storage / session storage) to run the service.

• Essential authentication: to keep you signed in and secure your session.
• Functional storage: to prevent in-progress tool work being lost if you refresh or navigate away.
• No marketing trackers: we do not use advertising cookies or marketing pixels in the MVP.

You can clear cookies/local storage using your browser settings. Clearing them may sign you out and may remove in-progress (not yet saved) tool state.

3. How We Use Your Information

We use your data to:

• Provide core features (tools, saving progress, and Goal Sprints).
• Generate AI-assisted outputs when you choose to use those features.
• Respond to support requests and feedback.
• Maintain security, prevent abuse, and improve reliability.

We do not sell your personal data.

4. AI Features and Processing

viawise includes optional AI-assisted features (for example generating suggestions, summaries, or next actions). When you use an AI feature, we send relevant inputs to our AI provider to generate the output you requested.

Depending on the feature, those inputs may include structured tool data and/or free-text you provide (for example CV/resume text, extra context notes, or Goal Sprint reflections). We do not send your password.

AI outputs may be stored in our database so you can return to them later.

5. Data Sharing and Service Providers

We do not share your personal data with third parties except as needed to operate the service, for example:

• Hosting and infrastructure: Providers that host and operate the application and database.
• AI provider: Only when you use AI features, to generate the output you requested.
• Legal compliance: If required by law or to protect our rights and users.

6. International Transfers

Some service providers may process personal data outside the UK/EEA. Where required under applicable data protection law, we rely on recognised transfer mechanisms (for example standard contractual clauses and/or equivalent contractual protections) and other lawful bases for transfer. 7. Data Storage and Security

We use access controls and technical measures designed to protect personal data from unauthorised access, loss, or misuse. No system is perfectly secure, but we aim to follow reasonable security practices appropriate for a closed beta.

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data. You may also have the right to object to certain processing and to lodge a complaint with a supervisory authority.

During the closed beta, we generally retain personal data while your beta account remains active, unless you request deletion or we need to remove data for operational reasons (for example to protect the service).

Because this is a beta, we may change data structures and, in rare cases, we may need to reset or delete certain data to keep the service working correctly.

viawise is not intended for use by individuals under the age of 16, and we do not knowingly collect personal data from children. If you believe a child has provided us personal data, please contact us and we will take steps to delete it.
